What Is n8n?

n8n (pronounced "n-eight-n") is an open-source workflow automation platform. When We Use Each Tool

n8n: Complex workflows with custom logic, AI agent integrations, data-sensitive clients who want self-hosted infrastructure, high-volume automations where per-task Zapier pricing becomes expensive. This is 70% of our client work.

Make (formerly Integromat): Mid-complexity workflows where the client already has a Make account, or when visual workflow design matters for client handoff. We use Make when a client wants to maintain the automation themselves after we build it — the interface is more approachable.

Zapier: Simple two-step automations where the client is already on Zapier's ecosystem and just needs one or two connections. We rarely build new Zapier workflows from scratch because the cost per task adds up fast for businesses running hundreds of automations monthly.

A Real n8n Workflow We Built for a Canadian Client

A Toronto-based home services company came to us with a lead management problem. They were getting 40–60 Instagram DMs per week, manually copying contact info into a spreadsheet, sending quotes by email, and following up by phone. The entire process took one person 20+ hours per week.

We built an n8n workflow that: (1) captures every Instagram DM via the Instagram API, (2) uses Claude to classify the message as a lead, service inquiry, or spam, (3) for genuine leads, extracts name, service requested, and location, (4) creates a contact in HubSpot, (5) generates a quote PDF using their existing pricing template, (6) sends the quote via email with a Calendly booking link, (7) follows up at 24, 72, and 168 hours if no response. The entire workflow runs on their own server, zero third-party cloud, PIPEDA-compliant. Setup took 9 days. The owner reclaimed 18 hours per week in the first month.

Working With an n8n Agency in Canada
